POBITS is secure. All of your case information is securely maintained on our server which is located in a large data center managed by a leading national hosting service with backup power systems and redundant servers in dual physical locations. This ensures the highest level of operational availability, redundancy, and security. The database itself is fully encrypted. System users other than Investigators (i.e., Candidates and their references) are granted temporary and limited access to the system. System credentials are managed internally by the system and any user that grants system credential to another user does not know what those credentials are. System logs are maintained detailing all system access by all users including log in and log out times and IP addresses. Access to POBITS is via a secure connection (https://). These security measures are the equivalent of the security measures taken to control financial and other systems that contain private and personal information.
The architecture makes it impossible to enter the system other than via a direct login. Once logged in, each user has a specific role and specific access to database elements at the field level. It is not possible to enter a URL that goes to a particular page or function. Maintaining candidate personal history records on a server outside of your own network is naturally likely to give you some pause. From the ground up, POBITS has been designed to securely capture, hold, and transmit data with security as the top priority. Since POBITS is a hosted service, it differs from any similar application installed on your own network in two ways; (1) The database is not on your premises, and (2) transmission of information from the work station to the database is via the Internet rather than via your local network. If POBITS were installed on your own network, then you would have physical control of the database and the costs associated with maintaining it. For POBITS to work as designed, it is necessary to allow external access to the system by Candidates, References, and a few others. This would necessitate placing the server in the DMZ (Demilitarized Zone) of your network, essentially exposing it to the same security concerns and further complicating your own network security.
POBITS takes a modern approach to using the Internet and web technology to vastly accelerate information flow between a wide range of stakeholders in the background investigation process. There is simply no way to do what POBITS does without using the Internet and the World Wide Web in this manner.
